Information on Final Manuscript Upload

Registration is required to upload the final manuscript. Notice that online registration is made through an external system (http://www.cvent.com/d/mcq22c), not EDAS.

After registration, you will receive an 11-digit registration code that will be used to upload your final manuscript. According to the ComSoc policy, full registration (categories RG01, RG02, or RG03) is required to upload final manuscripts and each full registration can cover up to 3 papers.

Log into EDAS and go to your accepted paper where you should see an upload icon beside "Final manuscript". Click on the upload button. In the next screen, enter the conference registration code and complete the rest steps.
PLEASE NOTE: The author list of an accepted paper can NOT be changed in the final manuscript.
Registration Information for Authors of Technical Papers
In order to upload your paper you must first register for the conference. You will need your Registration Code (Confirmation) when you upload your paper.
Therefore authors must register by Saturday, September 1st, as this is the deadline for uploading your paper.
Note that student authors can apply for a Student Travel Grant through EDAS.
PLEASE NOTE: To be published in the IEEE SmartGridComm Conference Proceedings and IEEE Xplore®, an author of an accepted paper is required to register for the conference at the full (member or non-member) rate and the paper must be presented at the conference. Non-refundable registration fees must be paid prior to uploading the final IEEE formatted, publication-ready version of the paper. For authors with multiple accepted papers, one full registration is valid for up to 3 papers. Accepted and presented papers will be published in the IEEE SmartGridComm Conference Proceedings and in IEEE Xplore®.
IEEE and IEEE Communications Society Policies
All IEEE SmartGridComm technical papers must be associated with an author registration in the R01, R02 or R03 category. For authors presenting multiple papers, one registration in any of the categories (R01, R02 or R03) is valid for up to three papers. IEEE reserves the right to exclude a paper from distribution after the conference (e.g., removal from IEEE Xplore) if the paper is not presented at the conference for all reasons including the VISA problems.
Student Travel Grants
We are very pleased to let you know that IEEE SmartGridComm 2012 provides Student Travel Grant (STG) funds in the range of $500-1000 to broaden the participation of student authors. This fund is sponsored by IEEE ComSoc for students worldwide to attend IEEE SmartGridComm 2012 in Tainan, Taiwan. Starting July 28, IEEE SmartGridComm 2012 accepts applications for STG.
Eligibility of STG:

The applicant may be of any nationality and must be an author (co-author) of an accepted paper;

The applicant must be full-time student registered toward a Bachelors, Masters, or Ph.D. degree in computer science, engineering or related field in a college or university when submitting the application.

The Applicant must be a Student Member of the IEEE Communications Society when submitting the application

The applicant must not have received an IEEE ComSoc STG in the last 12-month period when submitting the application, and must not received any other grants for attending the conference

During the expense reimbursement stage, the student must show the proof of having registered to attend the conference.
A student who is awarded a STG must register, attend the conference, and present the paper. Payment will only be made to the student as long as the award recipient submits the expense report (with receipts) within 45 days after the conference. More details will be provided to the students who are selected to receive the STG award.
How to Apply:

The application should be submitted electronically via EDAS http://edas.info/. After logging into EDAS, click the “Travel Grant” tab at your EDAS home page, and then select “Student Travel Grant for IEEE SmartGridComm 2011”. The application must include the following materials

A reference letter from your advisor (your advisor can directly submit the reference letter on EDAS).

Your up-to-date resume including your citizenship (required), and ethnicity and gender (optional, used to broaden the participation of under-represented students).

VISA ASSISTANCE LETTERS: Authors should use EDAS to retrieve their personalized visa assistance letters (soft copy in PDF format). Non-Authors (Speakers, Committee Members, and paid attendees) requiring visa assistance letters, or authors needing a hard copy must complete a
ComSoc Visa Assistance Request.
CANCELLATION POLICY:
All refund/cancellation requests must be provided via email to smartgridreg@ieee.org (or in writing to the address below) and received by Friday, 5 October 2012. No refunds will be provided after this date. Please note: author registrations are non-refundable. There will be a US $100 administrative fee deducted from each refund.
